If this is a personal Microsoft account and other verification methods are available, use one of those methods first. If the sign-in screen offers another method, choose it.

If the account was backed up in Microsoft Authenticator and a new phone is available:

    1. Install Microsoft Authenticator on the new phone.
    2. On Android, open Authenticator and select Restore from backup before signing in.
    3. Sign in with the personal Microsoft account that was used as the recovery account during backup.
    4. After restore, if an account shows Sign in to restore your account or Action required, open that account in Authenticator, tap Sign in, enter the password, and complete the extra verification with email or phone.

    Important restore behavior:

    • For work or school accounts, only the account name is restored. Sign-in is required again to complete setup.
    • For Microsoft personal accounts using passwordless sign-in, only the account name is backed up, so sign-in is required again after restore.
    • If Restore from backup does not appear, sign out of or remove all accounts in Authenticator, then try recovery again.

If access to the backup account is also lost, support cannot restore the Authenticator backup. In that case, use the Microsoft account sign-in helper or add the accounts again.

If this is a work or school account and no other sign-in method is available:

    • Try Sign in another way on the sign-in screen if it appears.
    • If no alternate method was set up, contact the organization’s IT help desk.
    • If another cloud services admin exists, that admin can reset the MFA settings and require the account to provide contact methods again.
    • If the device was lost or stolen, sign in with a different method if possible and have the help desk clear the old settings.

If authentication is failing during recovery, check these common issues:

    • Unlock the Authenticator app.
    • Enable notifications for Authenticator.
    • Update to the latest app version.
    • Check internet connectivity.
    • Verify the device date and time are correct.
