A web-based tool in Microsoft 365 that enables users to quickly create surveys, quizzes, polls, and feedback forms.
Microsoft Forms does not support automatically closing a form or individual options when a specific response count (capacity) is reached.
Available controls are:
- Limit who can respond (e.g., only people in the organization, specific people/groups).
- Limit to one response per person.
However, there is no built‑in setting to:
- Stop accepting responses after a certain number of submissions, or
- Mark specific masterclass choices as “sold out” automatically once their individual limits are reached.
To manage capacity after the form has been sent:
- Monitor responses manually.
- When a masterclass is full, either:
- Edit the form to remove or rename that option (e.g., add “– FULL / SOLD OUT” to the choice text), or
- Turn off “Accept responses” for the entire form once the overall event is full.
For more advanced capacity handling (per‑session limits, automatic close on threshold), a different tool such as a booking system or a Power Apps/SharePoint solution would be required; this is not available natively in Microsoft Forms.
