How do you create a complete email backup before moving to a new system?

Hi everyone

I'm planning to move my email account to a different environment and want to make sure I don't lose any important data during the process.

My mailbox contains 9K+ emails, multiple custom folders, attachments, contacts, and years of communication. Before making any changes, I'd like to create a complete local copy that I can access even if something goes wrong.

What is the safest approach to preserve:

  • All email folders
  • Attachments
  • Folder hierarchy
  • Read/unread status
  • Email metadata

Has anyone gone through a similar migration? What worked best for you, and are there any common mistakes I should avoid?

I understand you want to move your email account to a new environment and you are carefully thinking about how to keep every detail safe, including folders, attachments, contacts, and the overall structure.

To help you better, might I confirm:

  • Are you currently using Outlook with Microsoft 365 or another client? -> This matters because each client has different export options, and knowing which one you use helps me suggest the right steps.
  • Do you want the backup mainly for offline access or just as a safety archive? -> This helps me recommend the most suitable format, since some people want to open the backup regularly while others only need it stored securely.
  • Where do you plan to transfer the mailbox? -> Knowing the destination (for example, another Outlook profile, a different provider, or a local archive only) helps me explain how the backup will be restored or imported later.

Along the way, I will also share a few steps that you can try if you are using Microsoft Outlook

1/ Export to PST  

This format is designed to hold all emails, attachments, folders, and metadata.  

  • In Outlook, go to File > Open & Export > Import/Export.  
  • Choose “Export to a file” then “Outlook Data File (.pst)”.  
  • Select your mailbox and make sure “Include subfolders” is checked.  
  • Save the file to a secure location.  

-> You will have one file that contains your entire mailbox with hierarchy intact.

2/ Check PST after export  

After export, open the PST in Outlook (File > Open > Outlook Data File). This step is important because it confirms that the backup is complete and usable. By checking, you can see if all folders are present, attachments open correctly, and read/unread status is preserved. It is better to catch any missing data now rather than after the migration.  

3/ Backup contacts  

Contacts are stored separately, so it is good to export them as well.

Use the same Import/Export wizard and choose “Contacts” to ensure they are preserved.  

4/ Store safely  

Keep the PST file in a secure location, ideally with a second copy on external storage. This way you have redundancy if one copy becomes inaccessible.

    To create a complete email backup before moving to a new system, you must export your entire mailbox into a local backup file or sync it to a secure cloud service. The exact process depends entirely on the email provider or desktop application you currently use
