Using Outlook for iOS in business environments for email and scheduling

On Outlook for iOS, shared mailboxes are not added by signing in directly. Instead, they are added inside the app using your existing account permissions. The error message you are seeing usually appears when the mailbox is added incorrectly or when certain requirements are not fully met on mobile, even though desktop apps continue to work.

Step 1: Make sure the shared mailbox is added the correct way
Please make sure you follow these steps in the Outlook mobile app (not the Apple Mail app).

Step 2: Remove and re-add your primary account
Refreshing your account connection often resolves authentication-related issues:
Go to Settings in Outlook > Select your primary account > Tap Delete Account.
Restart your iPhone.
Open Outlook again.
Add your primary account back.
Repeat Step 1 to add the shared mailbox.
Step 3: Reinstall the Outlook app
This step helps clear cached authentication data:
Press and hold the Outlook app icon > Tap Remove App and confirm deletion > Restart your iPhone.
Reinstall Outlook from the App Store.
Sign in again with your primary account.
Add the shared mailbox using the correct method.
Step 4: Check with your organization's IT administrator
If the issue continues, the following checks are important:
1/ Confirm mailbox compatibility
Outlook for iOS supports shared mailboxes only when both your mailbox and the shared mailbox are hosted in Exchange Online and using Microsoft’s native sync.
If your organization uses a hybrid setup with on premises mailboxes, this may prevent mobile access even when desktop works.
2/ Verify your permissions
Please ask IT to confirm that you have Full Access to the shared mailbox.
Desktop access can sometimes work with different permission setups, but Outlook mobile specifically requires Full Access to add and open a shared mailbox.
